Start with the business need
Describe the product or capability you are looking for, the customer or market it serves and the reason for exploring a supplier relationship. A concise need statement keeps early discussions focused.
Make the offer easy to assess
Share the information a potential partner needs to evaluate fit: product range, specifications, indicative volumes, availability, delivery locations and relevant documentation. Mark estimates clearly and identify what still needs confirmation.
Clarify roles and commercial questions
Discuss who owns pricing, order handling, stock updates, delivery communication, quality questions and after-sales issues. Record open questions and avoid treating an exploratory conversation as an agreed commercial commitment.
Agree on a manageable next step
A first step might be a product review, a sample discussion, a supplier introduction or a small pilot plan. Define who will provide each item of information and when the parties will reconnect.
